Privacy Policy

This policy explains what personal information we collect, why we collect it, who we share it with, and what you can do about it. It covers this website (windsorroofingpros.com), our phone and email conversations, our roof inspections and estimates, and the work we carry out at your property.

We follow Canada's federal privacy law, the Personal Information Protection and Electronic Documents Act (PIPEDA). If anything here is unclear, call us and ask — we would rather explain it than have you guess.

Privacy questions, requests and complaints are handled by our Privacy Contact, who is responsible for our compliance with this policy.

We have designated an individual within the business as accountable for our handling of personal information. If you would like to know who that is, ask and we will tell you.

When you contact us or request an estimate

• Your name, phone number and email address
• The property address and municipality, and whether the building is residential or commercial
• What you tell us about the roof — its age, the symptoms you have noticed, and what you are looking for
• Which service you selected on our form
• Whether you have asked us to contact you about anything beyond that enquiry

When we inspect or work on your property

• Photographs and measurements of the roof and, where relevant, the attic and any interior areas affected by a leak
• Aerial photographs taken by drone, where we use one (see section 12)
• Our notes on what we found and what we recommend
• Your insurance claim details, if you ask us to help with a claim
• Records of the work carried out, the materials used, and any warranty registrations

When you pay us

• Billing name and address, invoice and payment records

We accept payment by cheque and electronic transfer. We do not take card payments, so we never collect, process or store card numbers, and there is no payment processor handling your details on our behalf.

Automatically, when you use our website

• IP address, approximate location, browser and device type, the pages you viewed, how you arrived at our site, and how you interacted with the pages

Section 5 explains the tools that collect this information and what you can do about them.

We use your information to:

• Prepare and send you an estimate, and schedule an inspection
• Contact you about your enquiry or your project
• Carry out the work, order the right materials, and keep a record of what was installed
• Register manufacturer warranties and handle any warranty claim
• Invoice you and keep the financial records the law requires
• Handle questions, complaints, insurance claims and, if it ever comes to it, legal claims
• Understand how our website is used so that we can improve it
• Send you marketing, but only if you have separately opted in

We do not use your information for any other purpose without asking you first.

When you send us an enquiry, you are consenting to us using those details to respond to it and prepare your estimate. That is all — submitting a form does not sign you up for anything else. Marketing is separate and optional, and declining it does not affect your quote, your price, or your project in any way.

You can withdraw your consent at any time by contacting us using the details in section 2. Some limits apply: we cannot undo work already carried out, and we have to keep certain records for tax and legal reasons for as long as the law requires. We will tell you plainly if that affects your request.

Our website uses the following tools.

Google Analytics 4 (provided by Google)

Measures how many people visit the site, which pages they read, and how they found us.

The container that loads our other tags. It sets no cookies of its own.

Records how visitors move through our pages — cursor movement, clicks and scrolling — so that we can see where the site is confusing or hard to use.

• Clarity is configured with Microsoft's "Balanced" masking setting, which masks most text entered into form fields. It is not a guarantee that nothing typed is ever captured, and we are telling you that rather than claiming otherwise.

How to turn analytics off

We do not currently offer an on-site cookie control, so the way to decline these cookies today is through your own browser:

• Most browsers let you block or delete cookies in their privacy or site-settings menu
• Google publishes a browser add-on that opts you out of Google Analytics across all websites
• Using your browser's private or incognito mode limits how long these cookies persist

Blocking them does not limit anything on our site except our ability to measure how it is used. We are looking at adding a cookie control to the site so that this is easier, and we will update this policy when we do.

We do not use our website to build advertising profiles of you, and we do not run advertising or remarketing tags on it.

We only send marketing if you have opted in, and we will never make it a condition of getting a quote.

Every marketing message we send identifies us and carries a working unsubscribe link. We action unsubscribe requests within 10 business days at the latest, and usually much sooner. Replying to an email, or texting STOP to a message, works too.

If you have asked us for a quote, we may follow up about that specific enquiry for a short period even if you have not opted into marketing. That is a direct response to your request rather than a campaign, and you can tell us to stop at any time.

We never sell, rent or lease your personal information. We share it only with:

• Our crews and estimators — the people attending your property receive your name, address, contact number and the project details. Some of our crews and estimators are subcontractors rather than employees, so the people who arrive at your home may work for another business. We only give them what they need to do the job, and we require them to treat your information the same way we do.
• Suppliers and manufacturers — your name and address, where needed to arrange a delivery or register a warranty
• Our service providers — our website host, our email provider, and the analytics providers named in section 5
• Your insurer — only if you have asked us to deal with them on a claim
• Our professional advisers — our accountant, insurer or lawyer, where necessary
• Authorities — where the law requires it, such as a court order or a municipal building department request

Enquiries submitted through our website go to our email inbox. We do not run them through a separate customer-management system.

Our website is hosted by Hostinger, and Google and Microsoft process our website analytics data. Some or all of these providers store and process data outside Canada.

When information is stored or processed in another country, it may be accessible to the courts and law enforcement agencies of that country under its laws. We are telling you this because you are entitled to know it, not because we expect it to happen.

When a retention period ends, we securely delete or destroy the information.

We take reasonable steps to protect your information, appropriate to how sensitive it is. That includes encrypted connections to our website, access limited to the people who need it, password protection on our systems, and secure storage or destruction of paper records.

No organisation can promise that information is completely secure, and we will not claim otherwise. What we can promise is that we take it seriously, and that we will tell you if something goes wrong.

If personal information in our care is lost, or accessed without authorisation, and there is a real risk of significant harm to you, we will notify you and report it to the Office of the Privacy Commissioner of Canada as soon as we reasonably can, and tell you what we are doing about it.

We keep a record of all breaches, including minor ones, for at least two years.

We photograph roofs as part of our inspections, to document existing damage, to record hidden conditions found during tear-off, and to show completed work. Those photographs form part of your project file.

Drones. We sometimes use a drone to photograph a roof, particularly on steep, large or commercial buildings where getting a clear view from a ladder is difficult or unsafe. When we do:

• We fly only over and around the property we are inspecting, and only for as long as the inspection takes
• We are photographing the roof and the building, not the people in or around it
• Neighbouring properties may appear incidentally at the edges of a frame. We do not use those images for anything, and we delete footage we do not need
• If you would prefer we did not use a drone at your property, tell us and we will inspect another way
• If you are a neighbour and have a concern about a flight near your home, contact us using the details in section 2

Marketing use. We will only use photographs or drone footage of your property in our marketing — our website, our social media, or printed material — if you have given us separate written permission. If you have given permission and later change your mind, tell us and we will remove them.

You can ask us to:

• Show you what personal information we hold about you, and who we have shared it with
• Correct anything that is wrong or out of date
• Stop using your information for a particular purpose, or withdraw a consent you previously gave
• Delete information that we no longer need to keep

Contact us using the details in section 2. We may ask you to confirm your identity first, so that we do not hand your information to someone else.

We will respond within 30 days. If we need longer, we will tell you why before that deadline passes. There is normally no charge; if a request is unusually large and would cost something to fulfil, we will tell you the cost before doing the work so that you can decide whether to proceed.

If we cannot give you access to something, we will explain why in writing.

Tell us first — most concerns are resolved that way.

Our site links to manufacturers, municipal building departments and other third-party resources. We are not responsible for their privacy practices — once you leave our site, their policy applies rather than ours. It is worth a look before you give them anything.

Our services are sold to property owners, and our website is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe we have, please contact us and we will delete it.

We will update this policy when our practices change. The effective date at the top always tells you which version you are reading.

If we make a significant change to how we use information we already hold, we will let affected customers know directly rather than relying on you to check this page.
